Orchamind is operated by Siamak Kalhor Consulting ("Orchamind," "we," "us"). This policy explains what information we collect when you use Orchamind, how we use and protect it, and the choices you have. We keep it in plain English on purpose.
1. Information we collect
Information you give us
- Account details — your name, email address, username, role (owner, manager, or crew), and password. Passwords are encrypted (hashed) and never stored or visible to us in plain text.
- Your business records — the operational data you enter to run your business: jobs, crew members, hours, materials and costs, subcontractors, progress, notes, and daily reports.
- Voice input — when you use voice commands, the words you speak are converted to text and processed to carry out your request (for example, logging hours to a job). See "AI processing" below.
- Messages to us — anything you send when you contact us for a demo or support.
Information collected automatically
- Usage & device data — basic information such as your browser type, device, pages viewed, and general activity, used to keep the product working and improve it.
- Cookies & analytics — we use Google Analytics to understand how the site and app are used. See "Cookies & analytics."
2. How we use your information
- To provide Orchamind: run your jobs, crew, hours, costs, reports, and AI features.
- To secure accounts and enforce role-based access (so crew see only their jobs and financials stay private to owners and managers).
- To respond to your requests and provide support and setup.
- To maintain, troubleshoot, and improve the product.
- To send important service messages (for example, account or security notices).
We do not sell your personal information, and we do not use your business records to advertise to you.
3. AI processing
Orchamind's voice commands, daily briefings, risk alerts, and assistant answers are powered by AI provided by Anthropic (the makers of Claude). To answer a request, the relevant text — such as your spoken command and the related job information needed to act on it — is sent securely to Anthropic's API to generate a response, which is then returned to you. This processing is used to deliver the feature you asked for. We choose providers that do not train their models on data sent through their business API.
4. How we share information
We share information only with the service providers that make Orchamind work, and only as needed to run the product. These providers process data on our behalf under their own security and privacy commitments:

We may also disclose information if required by law, to protect our rights or users' safety, or as part of a business transfer (such as a merger or acquisition). Data is processed and stored in the United States.
5. Accounting connections (QuickBooks)
If you choose to connect QuickBooks, we store a secure access token that lets Orchamind send your job costs and materials to your QuickBooks account as bills. We only access what's needed to perform that sync. You can disconnect at any time from your QuickBooks settings or by contacting us, which revokes our access.
6. How we protect your information
- Passwords are encrypted (hashed) — never stored in plain text.
- Role-based access keeps financial data limited to owners and managers.
- Each company's data is kept in its own private, separate workspace.
- Data is transmitted over encrypted (HTTPS) connections.
No method of storage or transmission is 100% secure, but we work to protect your information using industry-standard practices.
7. How long we keep information
We keep your account and business records for as long as your account is active, and as needed to provide the service. If you close your account, we will delete or anonymize your information within a reasonable period, except where we must keep it to meet legal, tax, or security obligations. You can export your data at any time using Orchamind's built-in export feature.
8. Your rights and choices
- Access & export — view and download your data anytime from within Orchamind.
- Correction — update your information directly, or ask us to help.
- Deletion — request deletion of your account and personal information.
- Opt out of analytics — see "Cookies & analytics."
Depending on where you live (for example, California's CCPA or the EU's GDPR), you may have additional rights. To exercise any of these, contact us using the details below and we'll respond.
9. Cookies & analytics
We use cookies and Google Analytics to understand usage and improve the product. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics using Google's opt-out browser add-on.
10. Children's privacy
Orchamind is a business tool intended for adults. It is not directed to children under 13, and we do not knowingly collect personal information from them.
11. Changes to this policy
We may update this policy from time to time. When we do, we'll revise the "Last updated" date above, and significant changes may be communicated to you directly. Continued use of Orchamind after an update means you accept the revised policy.
